Responsibilities will include, but are not limited to, the following:

• Manage forecasting and planning of promotional materials through internal review process (with input from Project Champions)

• Develop and update annual, quarterly, monthly and weekly plans

• Annual (high-level) plan, based on brand plans

• Quarterly plans (refreshed monthly), to be reviewed during quarterly planning meetings, with all relevant functions (set meetings every quarter)

• Weekly review meetings, with brand and channel teams (estimate time to complete review of materials; adjust agendas to accommodate schedule changes; prioritize/reprioritize review items based on business needs)

• Attend brand planning and strategy meetings as needed

• Ensure adherence to timelines for submission of materials into internal review

• Limit late additions to weekly agenda to exceptions only

• Partner with brand and channel teams to ensure tactical plans are executed

• Manage flow of promotional materials through PACT (Promotional Approval Cross-functional Team) - ensure adherence to company SOPs

• Chair live meetings and ensure review committee time is used efficiently

• Actively facilitate live PACT meetings and ensure focus on key issues, with the goal of bringing the group to consensus (keep reviewers on subject; manage meeting time constraints; minimize side discussions)

• Monitor progress of offline reviews

• Facilitate development of materials going through PACT

• Receive and distribute review materials via electronic workflow system (iTRAC)

• Pre-review assigned promotional material in an electronic review system

• Work with outside advertising agencies on day-to-day operations (ensure accurate preparation of OPDP preclearance submissions, lead weekly status meetings, in collaboration with Production)

• Clarify, review and reconcile comments on review materials during live PACT meetings via iTRAC & ensure that approval stamps from PACT reviewers are applied

• Document the outputs of meetings in iTRAC

• Proofread copy to ensure all PACT comments have been incorporated

• Final QC review and approval of promotional material; preparation of submissions to OPDP for preclearance and initial use (Form FDA 2253)

• Archive materials and manage annual reapproval process

• Ensure interface with Celgene and Agency production departments

• Manage review tool (iTRAC) and related functionalities

• Manage progress of documents throughout workflow

• Ensure appropriate and efficient leverage of tool during meetings

• Resolve technical challenges for iTRAC users

• Trouble-shoot bottlenecks in workflow

• Solicit feedback/provide recommendations for improving PACT effectiveness

• Consolidate quarterly metrics to provide self-evaluation opportunity to the team

• Execute special projects as required by management

Qualifications

Skills/Knowledge Required:

• BA/BS Degree, preferably in Business Administration or Marketing

• Highly motivated self-starter with strong project management skills and ability to perform/prioritize tasks in a fast-paced environment with limited supervision

• Knowledge of Adobe Acrobat commenting tools

• Proficiency in Microsoft Office

• Experienced with proofreading technical documents

• Working knowledge of pharmaceutical advertising submission requirements

• Working knowledge of FDA promotional regulations a plus

• Exceptional attention to detail is critical for this job

• Expert listening skills and ability to probe for undisclosed information

• Excellent interpersonal skills.  Accurate and concise oral communications and writing ability

• Excellent organizational and time management skills

• Ability to multitask and meet strict deadlines

• Must be able to innovate, analyze and solve problems
