The Roles and Responsibilities of the Coordinator supporting Global Medical Affairs Disease Team, Multiple Myeloma include, but are not limited to, the following:

Administrative Tasks

• Provide administrative support to VP GMA MM and team for day-to-day operations as well as individual projects as needed

• Manage travel itinerary, accommodation and related activities

• Manage staff calendars, updating monthly schedule

• Responsible to organize team meetings incl logistics, and assist in agenda setting

• Prepare and submit travel & expense reports for GMA MM team members

• Maintain regular team absence calendar

• Provide support to VP GMA MM in email management

• Interact with KOLs to schedule meetings and/or Summit on-site KOL visits

• May be amenable to directly speak and liaise with patients in case of patient' Medical Information requests

• Responsible for scheduling and organizing on-site & off-site assigned staff meetings

• Organize administrative systems to support department members including filing/records retention and other functions as required.

• Work with HR for recruitment, ie liaise with interviewees, scheduling of interviews etc

• Open, sort & distribute mail, fax documents, keep files, order & maintain office supplies

• Schedule conference room usage

Budget coordination support

• Supports the VP GMA MM and team members to track project spending, PO raising and invoicing on time

• Liaises closely with FBP function to track spending, contribute to submissions of forecasts

• Supports the VP GMA MM in quarterly OPEX tracking and spend analytics ahead of quarterly LE submissions

• Ensure compliance towards financial systems (Oracle, Basware etc.)

Project support

• Taking minutes of team meetings

• Assist with editing, formatting and transcribing notes to relevant documents, such as word documents (i.e. protocol, manuscripts), powerpoint (ie presentations, strategic and tactical documents)

• Assist with developing, updating and issuing of team documents such as newsletter, project overviews, other communication tools

• Manage team related websites as appropriate

• Manage various processes across the GMA MM in close collaboration with the GMA strategic planning team

• Coordinate the GMA MM team members' presence at congresses, maintain team congress calendar

• Manage agency liaison  (e.g. meetings, communications, graphical & editing support)

• Support VP and Scientific directors for key processes, such as ODQ, brand planning, ie strategic and tactical planning

• Provide support to ensure GMA MM team compliance to policies and SOPs

• Other duties related to the above as assigned by the VP GMA MM.



Skills/Knowledge Required:

• A Business/Administrative school graduate or Scientific degree with a minimum of 10 years' experience in health care environment (oncology preferred) and executive assistance

• Must have strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required

• Excellent communication skills (oral and written)

• High quality standards, attention to detail, tenacious follow-up

• Has previously worked in an International environment over multiple time zones

• Experience supporting a Global Team 

• Proven track record to diligently work in cross-functional teams

• Advanced computer skills (MS Excel, Word, Powerpoint)

• Written/spoken fluency in both and English with other languages a plus

• Excellent knowledge of budgeting process and accounting principles

• Previous experience in direct patient contact is a plus

• Project management skills, i.e. effectively manage multiple priorities

• Ability to adapt behavior to situation

• Highly adaptive and flexible to high through-put business environment

• Good analytical and planning skills

• Ability to communicate well one on one and small group
